Notifications for people removed from the workflow

Feature Request: Notifications when users are removed from proposal access

Summary:
Notify proposal and PBS owners when a user loses access to in-work proposals so they can promptly reassign responsibilities. The system should automatically remove the user from active workflow steps on affected proposals while preserving their history on submitted or completed proposals.

Problem Statement:
When a user is removed from BOE Pro access (for example, when an employee leaves the company), they may still be listed in active workflows for in-progress proposals. Proposal and PBS owners are not automatically informed of this change, so they may assume the removed user is still responsible for certain workflow steps. This creates gaps in ownership, delays in proposal progress, and potential confusion about who is accountable for remaining tasks.

Proposed Solution:
When a user is removed from access to BOE Pro:

• Automatically remove that user from all workflow steps on in-work proposals where they are currently assigned.

• Do not alter their participation or historical records on submitted or completed proposals; retain all history for audit and traceability.

• Generate and send an email notification to the proposal owners and PBS owners (including PBS Owners in Multilevel RAM configurations).

• The notification should include:

  • The name of the user who was removed.

  • A list of PBSs and associated proposals where they were removed from the workflow.

  • The specific workflow steps from which they were removed.

• Ensure the notification is clear and actionable so owners can quickly identify where a new assignee is needed.

Benefits:

• Ensures proposal and PBS owners are immediately aware of access changes that impact active work.

• Reduces the risk of stalled proposals due to unassigned or orphaned workflow steps.

• Preserves historical data on submitted/completed proposals for audit and compliance needs.

• Improves operational continuity when staff changes occur (e.g., when estimators leave the company).

• Enhances overall workflow reliability and accountability within BOE Pro.
