Unassigning All Access Tags

Feature Request: Unassign All for Access Tags

Summary:
Introduce an “Unassign All” action for access tags that removes the selected tag from all associated objects in a single operation. This allows temporary or obsolete access tags to be quickly detached from all usage so they can be safely deleted or retired.

Problem Statement:
Access tags are sometimes created for short-lived scenarios, such as granting access to a temporary estimator. Once the related work is complete, those tags are no longer needed. However, if an access tag has been used anywhere, it cannot currently be deleted. Users must manually locate and remove the tag from every place it has been applied, which is time-consuming, error-prone, and often impractical when the tag has been broadly used. As a result, the system accumulates outdated tags that clutter configuration and can cause confusion.

Proposed Solution:
Add an “Unassign All” option to the access tag management UI.
When selected, this action should:

  • Identify all records, users, or entities where the tag is currently assigned.

  • Remove the tag from each of those locations in a single bulk operation.

  • Provide a confirmation dialog summarizing the number and type of items to be affected.

  • On completion, update the tag status so it can be deleted if it is no longer in use.

  • Log or surface a summary of the operation (e.g., count of items updated, any failures) for auditability and troubleshooting.

Benefits:

  • Eliminates tedious manual cleanup when temporary or obsolete access tags are no longer needed.

  • Reduces configuration clutter by making it easier to remove outdated tags from the system.

  • Minimizes the risk of missed assignments that could leave unintended access in place.

  • Improves administrator productivity and system hygiene by streamlining tag lifecycle management.
