Feature Request: Outlook Inbox Integration

Summary:
Integrate shared Outlook 365 inboxes directly into Management Pro at the Program, Contract, and Project levels, enabling users to manage emails in-app and file them into the document tree as PDF-rendered documents with attachments stored separately. Provide per-inbox routing rules to auto-file incoming messages into appropriate folders, using Outlook 365 on the customer tenant for on-premises deployments.

Problem Statement:
Contract and project correspondence often resides in individual or shared email inboxes disconnected from the governed document repository. Important communications are difficult to find later, are not consistently tagged or classified, and may be lost when personnel change roles. Manually saving emails as documents is time-consuming and error-prone, preventing organizations from maintaining a complete and auditable record of correspondence in Management Pro.

Proposed Solution:
Allow Programs, Contracts, and Projects to have associated shared Outlook 365 inboxes provisioned on request; Proposals do not have inboxes but remain valid destinations for filed emails.
Expose these inboxes in the Management Pro UI so users can read and manage email without leaving the application.
Enable users to save individual emails from an inbox into any permitted folder within the document tree, including folders at lower levels (e.g., filing a Contract inbox email into a specific Proposal folder), subject to access tag permissions.
Render saved emails as PDF documents with email metadata (sender, recipients, date, subject) captured as document metadata, and store attachments as separate documents alongside the email PDF.
Provide per-inbox routing rules that match on sender, subject, and other standard criteria, automatically filing matching emails into specified document tree folders.
Allow routing rules to file emails into folders that a particular recipient may not be able to view, ensuring governance by destination folder access tags rather than the inbox recipient’s permissions.
When a Program, Contract, or Project is archived or deleted, archive its associated inbox with disposition governed by the organization’s retention policy.
Scope integration to Outlook 365 only at first release, with shared mailboxes hosted on the customer’s tenant in the on-premises deployment model.
