Workflow - missing due dates notification

Feature Request: Missed Workflow Due Date Notifications

Summary:
Enable automated notifications when workflow step due dates are missed, sending alerts via email and activity feed to Proposal Managers (proposal owners and RAM admins) and the user assigned to the workflow step. This ensures that responsible parties are promptly informed of delays and can take corrective action to keep proposals on schedule.

Problem Statement:
Today, missed workflow step due dates can go unnoticed, especially in complex proposals with many steps and stakeholders. Proposal Managers and assigned users have no consistent, automated mechanism to know when a step is overdue. This leads to delayed follow-up, reduced visibility into schedule risk, and a higher likelihood of proposals slipping past internal or customer deadlines.

Proposed Solution:
Introduce a configurable "Missed due date notifications" capability within workflow management and notification settings:

  • Notification trigger:
    The system continuously evaluates workflow steps and identifies when a step’s due date has passed and the step is not yet completed.

  • Notification recipients:
    – Proposal Managers (proposal owners and RAM admins).
    – The user assigned to the overdue workflow step.

  • Notification methods:
    – Email notification to all recipients.
    – Activity feed entry associated with the proposal and workflow step.

  • Notification content:
    Each notification includes:
    – Proposal identifier and name.
    – Workflow step name and description (if available).
    – Original due date and timestamp.
    – Time elapsed since the due date (e.g., "2 days overdue").
    – Link to navigate directly to the proposal and specific workflow step.

  • Configuration and controls:
    – Global or workspace-level setting to enable/disable missed due date notifications.
    – Optional configuration of which roles/recipient types receive notifications (e.g., Proposal Managers only, assigned user only, or both).
    – Optional frequency control (e.g., initial notification at time of breach, with potential follow-up reminders after a set interval).

Benefits:
– Improves on-time completion of workflow steps by alerting responsible parties as soon as deadlines are missed.
– Increases visibility for Proposal Managers into schedule risk and bottlenecks across active proposals.
– Reduces manual monitoring effort and reliance on ad hoc communication to track overdue steps.
– Supports better adherence to customer and internal deadlines, improving proposal quality and responsiveness.
– Provides a clear audit trail of overdue events via the activity feed for future reporting and process improvement.
