Feature Request: Project-Level Email Inbox and Address
Summary:
Provide each project with a dedicated email address and integrated email inbox so that all project-related email communication can be automatically captured, stored, and accessed directly from the project. This includes the ability to send and receive emails from within the project, ensuring key discussions and decisions are preserved and visible to all relevant stakeholders.
Problem Statement:
Today, most project communication occurs via Outlook and remains scattered across individual team members’ inboxes. This creates several risks: important decisions and context are locked in personal mailboxes; when people leave the company, their project email history is lost; and new team members or stakeholders cannot easily review prior conversations. As a result, project documentation is incomplete, fragmented, and difficult to reconstruct, leading to misalignment, repeated questions, and potential errors.
Proposed Solution:
Introduce a project-specific email address and inbox for each project.
Allow users to CC or forward emails to this project address so that messages are automatically associated with the correct project.
Display captured emails in a “Project Inbox” area within the project, with basic threading, search, and filtering (e.g., by sender, date, subject).
Enable users to compose and send emails directly from the project, using the project’s email address as the sender (or via delegated sending on behalf of a configured mailbox).
Support viewing full email content, including attachments, and optionally linking specific emails to related records (e.g., features, tasks, or milestones) within the project.
Provide access controls so only authorized project members can view or send emails from the project inbox.
Benefits:
Centralizes all project-related communication in a single, shared location.
Preserves critical conversation history even when individuals leave the organization.
Improves onboarding and continuity by giving new team members immediate access to prior discussions and decisions.
Reduces time spent searching personal inboxes or requesting old emails from colleagues.
Enhances project transparency, accountability, and documentation quality.
